Create Service Items in QuickBooks Desktop Pro- Instructions and Video

Overview of How to Create Service Items in QuickBooks Desktop Pro:

            You can create service items in QuickBooks Desktop Pro within the Item List. You create service items for the services you provide. This helps you avoid repeatedly typing the same line item information into sales forms.

            You create service items in QuickBooks Desktop Pro by first opening the “Item List” window. To create a new service item, click the “Item” button in the lower-left corner of the “Item List” window. Then select the “New” command from the pop-up menu.

            In the “New Item” window, select “Service” from the “Type” drop-down. The fields that appear in the “New Item” window are similar to the ones shown when creating “Inventory Part” items.

            First, enter a name for the service into the “Item Name/Number” box. If you want this service to be a subitem of another service, check the “Subitem of” checkbox. Then select the main service item under which the current item should be categorized from the adjacent drop-down menu. Enter a description of the service to display in invoices and sales receipts into the “Description” field. Enter the “Rate” for the service item. Then set the “Tax Code” for the item. Finally, assign the amount to an income account by using the “Account” drop-down.

            For services purchased and then applied to customer invoices, like subcontractor labor, you can check the “This service is used in assemblies or is performed by a subcontractor or partner” checkbox to change the fields available. If checked, this changes the fields to resemble the ones used when creating “Inventory Part” items. In this case, you enter information for the purchasing aspect of the service into the fields shown in the “Purchase Information” section. Then enter information used for the sales aspect of the service into the “Sales Information” set of fields. This lets you use the service item in both purchase and sales forms, if necessary.

            After creating the “Service” item, click the “OK” button to save it into the “Item List.”

Instructions on How to Create Service Items in QuickBooks Desktop Pro:

  1. To open the “Item List” window, select “Lists| Item list” from the Menu Bar.
  2. To create service items in QuickBooks Desktop Pro, click the “Item” button in the lower-left corner of the list window.
  3. Then select the “New” command from the pop-up menu.
  4. In the “New Item” window, select “Service” from the “Type” drop-down.
  5. Enter a name for the service into the “Item Name/Number” box.
  6. To make this service a subitem of another service, check the “Subitem of” checkbox.
  7. Then select the main service item under which the current item should be categorized from the adjacent drop-down.
  8. Enter a description of the service to display in invoices and sales receipts into the “Description” field.
  9. Then enter the “Rate” for providing the service.
  10. Then select the “Tax Code” for the service.
  11. Select an income account to which you attribute sales of the service by using the “Account” drop-down.
  12. For services which are purchased and then applied to customer invoices, check the “This service is used in assemblies or is performed by a subcontractor or partner” checkbox to change the fields available.
  13. If checked, enter the purchasing information for the service into the fields shown in the “Purchase Information” section.
  14. Then enter the sales information for the service into the “Sales Information” section.
  15. After creating the “Service” item, click the “OK” button to save it into the “Item List.”
