Open a Group Calendar or Notebook in Outlook: Video

            This video lesson, titled “Accessing the Group Calendar and Notebook,” shows you how to open a group calendar or notebook in Outlook. This video lesson is from our complete Outlook tutorial, titled “Mastering Outlook Made Easy v.2019 and 365.”

Overview of How to Open a Group Calendar in Outlook

            To open a group calendar in Outlook, select the name of the group in the Folder Pane in Outlook. Then click the “Calendar” button in the “Group Name” button group (where “Group Name” is the name of your Group) that appears on the “Home” tab of the Ribbon in Outlook.

            Doing this then opens a separate calendar window in Outlook that shows the events for the group. This calendar window is the same as the regular calendar window. However, you will also see any group appointments, events or meetings that are created. Note that all your groups and personal calendars appear at the left side of the calendar under “My Calendars” and “All Group Calendars.” You can check or uncheck the checkboxes here to show or hide the desired calendars in Outlook.

Overview of How to Open a Group Notebook in Outlook

            To open a group notebook in Outlook, select the name of the group in the Folder Pane in Outlook. Then click the “Notebook” button in the “Group Name” button group (where “Group Name” is the name of your Group) that appears on the “Home” tab of the Ribbon in Outlook. Doing this then opens your default web browser and redirects you to the group’s shared notebook in OneNote. Sign-in to Office 365 in the web browser, if needed. You can then view or contribute to the shared notebook in the web page that opens.

Instructions on How to Open a Group Calendar in Outlook

  1. To open a group calendar in Outlook, select the name of the group in the Folder Pane in Outlook.
  2. Then click the “Calendar” button in the “Group Name” button group (where “Group Name” is the name of your Group) that appears on the “Home” tab of the Ribbon in Outlook.
  3. Doing this then opens a separate calendar window in Outlook that shows the group’s appointments, events or meetings. This calendar window is the same as the regular calendar window.
  4. All your group and personal calendars appear at the left side of the calendar under “My Calendars” and “All Group Calendars.”
  5. To show or hide the desired calendars in Outlook, check or uncheck the checkboxes here.

  1. To open a group notebook in Outlook, select the name of the group in the Folder Pane in Outlook.
  2. Then click the “Notebook” button in the “Group Name” button group (where “Group Name” is the name of your Group) that appears on the “Home” tab of the Ribbon in Outlook.
  3. Doing this then opens your default web browser and redirects you to the group’s shared notebook in OneNote.
  4. Sign-in to Office 365 in the web browser, if needed.
  5. Then view or contribute to the shared notebook in the web page that opens.
