Reply to an Email in Outlook: Overview

            To reply to an email in Outlook that you have received, select the message. Then double-click it to open it in a stand-alone window. Alternatively, single-click the email in the Inbox pane to open it in the Reading Pane.

            If the message is open in the Reading Pane, click the “Home” tab in the Ribbon. Then click the “Reply” button in the “Respond” button group. If the message is open in a standalone window, the “Respond” button group appears in the “Message” tab, instead.

            Then create your reply in the stand-alone window or the Reading Pane. Type your reply above the text of the original message. Then click the “Send” button to send the reply to the sender.

            Note that you also have the option of clicking the “Reply to All” button, instead of clicking the “Reply” button. Doing sends your reply to the sender and also to anyone to whom the sender sent the original message. Be careful with this option! Do not use it with replies you do not want everyone who got a copy of the original email to see.

Reply to an Email in Outlook: Instructions

  1. To reply to an email in Outlook, select the message to which you want to reply from the Inbox folder.
  2. To open it in a stand-alone window, double-click the message.
  3. If you want to open it in the Reading Pane, single-click the message in the Inbox when the Reading Pane is displayed onscreen.
  4. To only reply to the sender if the message is open in the Reading Pane, click the “Home” tab in the Ribbon.
  5. To only reply to the sender if the message is open in a stand-alone window, click the “Message” tab in the Ribbon.
  6. Then click the “Reply” button in the “Respond” button group.
  7. Alternatively, to send a reply to every recipient of a message with multiple recipients, click the “Reply All” button in the “Respond” button group instead of clicking the “Reply” button. This sends the reply to every person listed in the “From,” “To” and “CC” fields of the original message.
  8. After selecting the type of reply to send, type your reply above the text of the original message.
  9. Then click the “Send” button to send the reply.
